Refund and cancellation policy

What happens to our fee if you cancel, if something goes wrong, or if an organiser makes a change.

How charging works
Our fee for each piece of work is set out in a written scope, and nothing is charged before you confirm that scope in writing. Fees are payable as stated in the scope; this website does not take payments.
Registration or attendance fees paid to an organiser are separate and are not covered by this policy. Any refund of those fees is a matter between you and the organiser.
Cancelling before work starts
You can cancel by email at any time before work begins. Anything you have paid us is refunded in full.
Cancelling after work has started
If you cancel once work has started, we charge only for the time already spent, at the rate stated in your scope, and refund the rest of anything you have paid. We send you a written breakdown of the time charged.
Completed work
Once a task in your scope has been completed and delivered to you, the fee for that task is not refundable.
If we make a mistake
If you find a clerical error in our work and tell us within 14 days of receiving it, we correct it free of charge. If we cannot correct it in time for it to be useful to you, we refund the fee for the task affected.
Decisions and changes made by others
We cannot refund our fee because of an organiser’s decision, such as refusing a registration or changing or cancelling a meeting, its dates, its fees or its requirements. Refunds are also not available for delays caused by information that reaches us late or by a submission that is not made in time.
