From first email to finished paperwork

Five clear stages, agreed in writing. We do the administrative work in the middle; you decide what happens at the start and you make the submission at the end.

  1. Stage 1 · You

    Send an enquiry

    Use the enquiry form or email us. Tell us which meeting you are registering for, roughly how many people are involved and what you would like help with. There is no charge for an enquiry and no obligation to go ahead.

  2. Stage 2 · Us

    We review it and send a written scope

    We read your enquiry, ask any questions we need answered and then email you a written scope: the tasks we will carry out, the timescale and the fee. No work begins until you confirm the scope in writing.

  3. Stage 3 · You

    Send the details and documents

    Once you confirm, you email the information and any documents the scope lists. We check what arrives straight away and tell you if anything is missing or unclear, rather than guessing.

  4. Stage 4 · Us

    We prepare and review the paperwork

    Your coordinator prepares the forms and documents following the organiser’s instructions. A second person then reviews the finished set before it is returned. If a question comes up that only you can answer, we ask.

  5. Stage 5 · You and us

    Check it, submit it and pay the organiser

    We return the finished paperwork by email with notes on anything to confirm. You review it, submit it to the organiser yourself and pay any organiser fees directly. Where your scope includes it, we keep track of later dates and send email reminders.

  • The meeting name and a link to the organiser’s registration page or instructions
  • How many people you are registering, and who our contact should be
  • Any dates you already know, such as registration or document deadlines
  • A short description of the help you would like

How long it takes

We aim to reply to enquiries within one to two working days, Monday to Friday. The time needed for the work itself depends on the number of people and documents involved, and it is written into your scope before you confirm.

If a deadline is close, please say so in your enquiry. We will tell you honestly whether the work can be done properly in the time available, and we will not accept work that we cannot complete with care before the date.

Questions people ask before they start

Do you submit the registration for me?

No. We prepare and check the paperwork, and you submit it yourself through the organiser’s own process. You also pay any organiser fees directly. If we draft an email to an organiser for you, it is only sent once you have approved it.

Are you part of the conference or its organisers?

No. annualconference2026registrations.com is an independent administrative service. We are not an event organiser and we are not affiliated with any conference, association or organising committee.

Can you guarantee that my registration will be accepted?

No. Organisers make their own decisions, and we have no influence over them. Careful preparation helps you avoid mistakes that are easy to prevent, but the outcome always rests with the organiser.

How much does it cost?

Every piece of work is quoted individually in a written scope before anything begins, so you know the fee in advance. Organiser fees are separate and are paid by you to the organiser. This website does not take payments.

Can I cancel after agreeing a scope?

Yes, by email at any time. If you cancel before work starts, anything you have paid us is refunded in full. After work has started, we charge only for the work done up to that point. The refund and cancellation policy gives the details.

What happens to the information I send?

It is used to answer your enquiry and to carry out the work you agree to, and for nothing else. It is never sold. The privacy policy explains what we keep, for how long and how to ask us about it.

What should I leave out of my first message?

Please do not include identity documents, payment card details or other sensitive information in an enquiry. If the agreed work needs documents, the written scope explains what to send and when.
